Accounts Receivable Management
The other half of the cycle: invoices out and tracked to payment.

Bills entered, queued, and put in front of you as a decision rather than a pile. You keep control of what goes out the door.
Accounts payable goes wrong in a predictable way. Invoices arrive in three places at once, somebody pays the urgent ones, the rest sit in an inbox, and a vendor calls about something ninety days old that nobody knew existed.
We put every bill in one place, coded and dated, and give you a payment run to approve. The money still moves on your say-so. What changes is that you are approving a list instead of reacting to a phone call.
The usual trigger is somewhere around fifteen to twenty vendor bills a month, or the first time a vendor puts the account on hold over something that was simply never entered. Businesses with materials, subcontractors or recurring service contracts hit that point earliest.
It is also worth doing where more than one person can spend money. A payables process where every bill lands in one queue and one approval list is the cheapest internal control a small business can have.
1
Vendors send to a single address, or you forward them. Either way, one destination.
2
Correct vendor, correct account, correct due date, correct job where you use job costing.
3
A dated list of what is due, ready to release. Nothing is paid without your approval.
4
Payments are applied so the vendor balance and the aging report stay true.
Most of the payables files we run are for businesses with trade vendors and subcontractors, where terms are real and a missed thirty-day window costs an early-pay discount or a strained relationship with someone you need again next month.
We do not move money. We prepare the run and you release it. Where you want us to have any banking access at all, it is view-only, and plenty of clients do not give us that either.
The duplicate gets caught at entry, because the bill is being matched against a vendor record and a period rather than glanced at in an inbox.
We can supply everything needed to resolve one, including the entry history and the payment record. The conversation with the vendor stays with you.
We keep vendor records and contractor payment totals current through the year, so the year-end vendor reporting is a report rather than a reconstruction.
