The chart of accounts decides what every report you ever run is capable of telling you. Most files inherit the software's default and never recover from it.
A chart of accounts is the list of buckets every transaction gets sorted into. QuickBooks Online ships with a generic one, and it is generic on purpose, because it has to work for a law firm and a food truck at the same time.
The cost of leaving it alone shows up two years later. A restaurant with a single cost of goods line cannot see whether food or beverage is the problem. A contractor with one materials account cannot tell which job lost money. The transactions were all coded correctly, and the reports still cannot answer the question.
Every question you will ever ask your books is limited by the structure someone chose in the first hour. It is worth choosing it deliberately.
At the start, if you are a new business. It is the single cheapest hour you will ever spend on your books, and it never gets cheaper than day one.
Otherwise, at the point where reports have stopped answering questions. If you find yourself exporting the profit and loss to a spreadsheet every month to regroup it before you can read it, the chart of accounts is telling you what it needs.
1
Not what industry you are in. How revenue actually arrives, in what streams, and what it costs to deliver each of them.
2
The accounts exist to answer questions. Which questions you ask each month determines how the structure gets built.
3
New accounts created, and where a file already exists, the old accounts mapped across so history stays usable.
4
We run a real period through the new structure and look at the reports before calling it finished.
New businesses around Humble and the Lake Houston area often come to us in their first quarter, before there is much history to argue with. That is the ideal time, and it is also the point where the whole engagement is short enough that it barely disrupts anything.
Yes. Accounts are merged and remapped rather than replaced, so prior periods stay readable. Where history has to be recoded to be useful, we scope that separately and tell you whether it is worth doing.
Enough to answer the questions you actually ask and no more. A chart with two hundred accounts is as useless as one with twelve, because nobody codes it consistently.
Not if it is mapped properly, which is why the mapping step exists. Restructuring without mapping is what breaks comparisons.
Yes. A new file setup includes the chart of accounts. This page exists for the businesses that already have a file and only need the structure rebuilt.
